Let’s play a little game.

Imagine you decided to take next week off. No laptop. No emails. No checking in “just for five minutes.” Would your business carry on without you? Or would your phone start buzzing before you’d even reached the airport?

If the second option sounds more familiar, don’t worry – you’re certainly not alone. One of the biggest challenges I see business owners face isn’t a lack of motivation or ambition. It’s that so much of their business lives inside their head.

They know how everything works. They know the process for onboarding a client. They know how invoices are sent. They know how social media gets published. They know where every file is saved. The problem is that nobody else does.

As your business grows, that becomes exhausting. Every question lands on your desk, every task needs your approval, and every holiday comes with a side order of anxiety.

Sound familiar?

The good news is, you don’t need to create complicated systems. When people hear the phrase “Standard Operating Procedure” (or SOP if we’re being fancy), they often imagine a 40-page corporate manual that nobody ever reads.

Thankfully, that’s not what I’m talking about. An SOP is simply a documented way of completing a task.

That’s it. Think of it as writing down your recipe instead of keeping it in your head. The goal isn’t to create perfect documentation. The goal is to make it easy for someone else to follow your process without having to ask you twenty questions along the way.

So… why Trello?

At TVAC, we’re big fans of keeping things simple. There are plenty of expensive systems available for documenting processes, but for many small businesses, Trello does the job brilliantly.

It’s visual. It’s easy to use. And best of all, you don’t need to be particularly tech-savvy to get started. That’s exactly why we’ve created our free SOP Builder Trello Board.

Instead of staring at a blank screen wondering where to begin, you can copy our board and start documenting your own business processes straight away.

What’s included?

Inside the board you’ll find:

✔ A simple workflow to organise your SOPs

✔ A ready-to-use SOP template card

✔ Five example SOPs to help you get started

✔ A structured process for reviewing and maintaining your systems

✔ A central place to build your own business process library

Whether you’re a team of one or already working with employees or a Virtual Assistant, it’s designed to grow with your business.

Why documenting your processes matters

Here’s something I often tell clients. Delegation doesn’t fail because people aren’t capable. It usually fails because expectations aren’t clear.

If you’ve ever caught yourself saying… “I’ll just do it myself because it’s quicker.” …there’s a good chance the real problem isn’t the person. It’s the process.

The more clearly you explain how something should be done, the easier it becomes for somebody else to do it well. And once you’ve documented it once, you don’t have to keep explaining it over and over again. Future you will be very grateful.

Start with one process

Please don’t make the mistake of thinking you need to document your entire business this weekend. You don’t. Pick one process.

Maybe it’s your client onboarding. Maybe it’s your invoice process. Maybe it’s how you publish your social media each week. Start there. Then build another. And another.

Before long, you’ll have a library of systems that make your business more organised, easier to delegate and far less dependent on you remembering everything. Progress beats perfection every single time.
